Job Description
Support to Managing Director, EMEA
- Inbox and diary management for Managing Director, EMEA
- Inbox management for shared or central email inboxes
- Travel booking and coordination for EMEA team
- Scheduling interviews for candidates and clients on behalf of MD, EMEA
- Support with document management, including slides for internal presentations and workshops, as well content and formatting for external documentation
- Attending internal meetings to document minutes and action points, following up with internal stakeholders
- Coordinating meetings with clients and candidates on site at office, including hosting clients and candidates for external interviews
- Sourcing and booking appropriate venues for internal off-site meetings and events
- Support management of internal initiatives, including data management and communications
- Support with creating and maintaining internal dashboards
- Schedule and arrange both internal and external meetings and calls for MD, EMEA
- Expense submissions for MD
London Office Experience
- Coordinating and managing room bookings
- Maintain and update Office Handbook as required
- Manage initial and ongoing set up and maintenance of desk set up in office, ensuring that all desks remain equipped with necessary equipment
- Act as initial point of contact for any problems with hardware, equipment, technology and office facilities, directing and escalating where required
- Manage internal office supplies and ordering
- Manage supplies for internal and external events when required
- Coordinate timings and diary management for internal events and communications
- Coordinate and provide support to all office events, both in the London office and off-site.
- Support with various internal operations / data / technology projects.
- Provide ad-hoc diary and administration support to Acre Board when required.
Health, Safety and Risk Management Support
- Maintain London office health and safety policy
- Managing annual health and safety risk assessment for London office
- Responsible for maintaining accident and emergency procedures
- Responsible for maintaining first aid kit, appointing first aiders and arranging training
- Maintain compliance on office relation regulation and legislation
Required Skills
- Proven experience in an administration or a business support capacity
- Strong organisational skills with the ability to manage multiple tasks effectively and on time.
- Proficiency in data entry with a keen eye for detail.
- Proactive and enthusiastic nature.
- Proven experience in working with Office 365 suite of programmes.
- Excellent communication skills, both written and verbal.
- Ability to work within and react to a fast-paced environment.
- Ability to manage and communicate effectively with senior business stakeholders.
